Who is responsible

This website is operated by the Paudyn Real Estate Group, whose registrants trade through Sutton Group - Masters Realty Inc., Brokerage. We are accountable for personal information under our control and use service providers only for identified business purposes.

What we collect

Depending on how you use the site, we may collect your name, email address, telephone number, inquiry details, property interests, marketing choices and the information you choose to send us.

Registered market access may also record acceptance of the VOW terms, verification and access status, requested areas or listing identifiers, timestamps, internet address and browser information. Essential sign-in, security and platform cookies may be used to operate protected features. We do not ask for payment-card or government-identification information through this website.

Why we use it

We use personal information to respond to inquiries, provide requested real estate services, deliver and secure registered VOW access, maintain consent and compliance records, protect the site, diagnose technical problems and send market updates when a person has separately agreed to receive them.

We do not sell personal information. We do not use VOW registration as automatic consent for marketing. If a new purpose is materially different from the purpose identified when information was collected, we will seek consent unless the law permits or requires otherwise.

Consent and email choice

Marketing consent is optional and separate from access to protected market information. Each marketing email must identify the sender and provide a working unsubscribe method. A completed unsubscribe request takes effect immediately in our website database and no later than the period required by law.

You can use our unsubscribe page at any time. Withdrawing marketing consent does not affect a current property inquiry, client relationship or VOW access.

Service providers and disclosures

We may give limited information to organizations that help us operate the website and deliver requested services, including Sutton Group - Masters Realty Inc., Brokerage, the website hosting, authentication and security platform, Cloudflare infrastructure, Resend email delivery, and PropTx or participating real estate boards for MLS® data and compliance.

These providers may process information outside Ontario or Canada, where it can be subject to the laws of that jurisdiction. We remain accountable for personal information under our control and limit providers to the information and purposes reasonably needed for their work. Information may also be disclosed when required by law, a regulator, an MLS® audit or a valid legal process.

Retention schedule

We keep personal information only as long as it remains reasonably necessary for the purpose identified, to meet a legal or contractual requirement, or to allow a person to exercise access rights. The website applies the following schedule:

VOW registration and access recordWhile access is active, then up to 24 months after expiry or revocation

Email verification and unsubscribe tokensDeleted within 30 days after use or expiry
Marketing subscription recordWhile subscribed. Three years after unsubscribe, the record is reduced to the consent and suppression details needed to honour the choice and demonstrate compliance
Consent IP address and browser informationUp to 24 months, then removed from the subscription record
General website inquiriesNormally 24 months after the last meaningful contact, unless the matter becomes a client or transaction record
Client and transaction recordsRetained by the brokerage for the periods required by real estate, tax, insurance and other applicable laws

MLS® feed records and mediaOnly for the period and purposes permitted by the applicable MLS® agreement and display rules

When a retention period ends, records are deleted, securely destroyed or anonymized. A minimal email suppression record may be kept after unsubscribe so that we do not add the address back to marketing without fresh consent.

Safeguards

We use safeguards appropriate to the sensitivity of the information, including restricted administrative access, authenticated protected areas, encrypted network connections, secret-managed service credentials, database access controls, security logging and limited collection. Access is reviewed and records are removed or de-identified under the retention schedule.

No internet service can promise absolute security. If a breach creates a real risk of significant harm, we will notify affected people and report it to the Office of the Privacy Commissioner of Canada as required. We maintain breach records for the required period.

Your rights

You may ask whether we hold personal information about you, request access to it, challenge its accuracy, ask for a correction, withdraw consent or raise a concern about our practices. We may need to verify your identity and may be unable to delete information that must be retained by law, brokerage regulation, an MLS® agreement or an active legal obligation.

Changes to this policy

We may update this policy when our services, providers or legal obligations change. The effective date above will be revised, and material changes will be presented clearly before they apply to new uses of personal information.
